Chair

Position Description
Responsible for the governance and oversight of all the EBSIG board activities, interactions and communications of the EBSIG, including, but not limited to:

  • Promoting professionalism in eBusiness project management
  • Branding, promoting and marketing PMI and the EBSIG
  • Working with the Board of Directors (BoD) to develop and implement strategies and tactical goals of the EBSIG
  • Re-routing the FRIDAY FACTS and other relevant material from PMI HQ to the BoD
  • Establishing and distributing the agenda for the monthly BoD meetings
  • Conducting the monthly EBSIG Board meetings (This can be delegated to the Vice-Chair-At-Large)
  • Liasing communicating, coordinating and interfacing with:
    • The PMI Board of Directors;
    • PMI Executive and Operational personnel headquartered at Newtown Square, Pennsylvania;
    • Other affiliated PMI components;
    • Other outside professional organizations; and
    • Outside news organizations, newsgroups and other media organizations.
  • Visiting PMI local chapters and encouraging participation in PMI and the EBSIG
  • Working with, and enrolling in the PMI HQ Speakers Clearinghouse, (This includes developing and making presentations, networking with local chapters & volunteering for other EBSIG promotional opportunities)
  • Attending, coordinating and actively participating at the semi-annual PMI Leadership Conferences.  Representing the EBSIG on the PMI Assembly of SIG Chairs and other PMI HQ functions
  • Attending, coordinating annual meeting with assistance from Corporate Secretary
  • Soliciting and consolidating individual Board member accomplishments and goals to be presented at the Annual Members Meeting.
  • Conducting annual performance reviews and providing feedback to the individual BoD members, (This includes obtaining previous year's accomplishments & Vision Statement; and next year's, measurable goals and management plan for each functional area)
  • Recruiting his/her own heir apparent (perferably, from with the EBSIG BoD), providing guidance & training for heir apparent, and turning over all applicable data, records and miscellaneous information to the heir apparent that will ensure their replacement's success.

This position represents the core leadershp and values of the PMI EBSIG.  This position also functions as chief executive officer (CEO) of the EBSIG and is responsible for overseeing day-to-day decision making and operations.

Vice Chair-at-Large

Position Description
Responsible for overall governance and oversight of all the EBSIG board activities of the EBSIG, including, but not limited to:

  • Promoting professionalism in eBusiness project management
  • Working with the Board of Directors (BoD) to develop and implement strategies and tactical goals of the EBSIG
  • Developing and maintaining of all EBSIG policies, standards, procedures and guidelines
  • Working in conjunction with the EBSIG general counsel and corporate secretary, manage the charter and charter renewal process
  • Conducting all meetings in the absence of the chair
  • Communicating, coordinating, compiling and maintaining current list of volunteer candidates that would be willing to serve on the BoD or willing to assume responsibility for driving a special or periodic volunteer intiative
  • Soliciting and coordinating with the Board of Directors, assemble 3 Year Management Plan
  • Assuming the chair duties and offices in the event the chair is unable or unwilling to complete the term of office
  • Recruiting his/her own heir apparent (perferably, from with the EBSIG BoD), providing guidance & training for heir apparent, and turning over all applicable data, records and miscellaneous information to the heir apparent that will ensure their replacement's success.

Board of Directors Statement of Interest

Executive Advisory Vice-Chair

Position Description
Responsible for assisting the chair in the overall execution of day-to-day operational activities of the PMI EBSIG, including, but not limited to:

  • Promoting professionalism in eBusiness project management
  • Working with the Board of Directors (BoD) to develop and implement strategies and tactical goals of the EBSIG
  • Branding, promoting and marketing PMI and the EBSIG
  • Acting as assistant, mentor and coach to the newly elected chair of the EBSIG Board of Directors

The executive advisory vice-chair position is assumed immediately following term completion of outgoing Chair.  This position maintains a Board vote.

Vice Chair of Programs

Position Description
Responsible for overall program and significant event activities of the PMI EBSIG, including but are not limited to:

  • Promoting professionalism in eBusiness project management
  • Working with the Board of Directors (BoD) to develop and implement strategies and tactical goals of the EBSIG
  • Issuing a call for papers that allows sufficient time for the presenters to submit prior to the deadlines established by PMI HQ and the Management Advisory Group (MAG)
  • Ensuring that only quality abstracts & papers are endorsed by the EBSIG
  • Coordinating with each seminar/symposium project team, particularly the designated Technical Program Manager, MAG and applicable members of the ASC Board
  • Consolidating papers and distributing the papers to the BoD.  Creating "Best Paper" ballots with detailed voting instructions and established deadlines.  Tabulating returns for the "Best Paper" vote and announcing the annual award winner.
  • Developing, creating and awarding the "Best Paper" winner with a certificate of recognition with a grant in the form of check (the grant is assumed to defray the cost of attending the Annual PMI Symposium)
  • Working in conjunction with the Vice Chair of Professional Development, plan develop, coordinate, stage and control all facets of webinars for the EBSIG membership, on a periodic basis
  • Attending the seminar/symposium and introducing and facilitating presentations
  • Managing development of EBSIG sponsored workshops as well as local and regional seminars, in conjunction with other Board members
  • Advising Board of financial estimates and commitments, prior to actual expenditures
  • Turning over to the Vice Chair of Content and Knowledge Management, all presentations, white papers, audio-visual recorded events, etc., to be loaded on our members-only website
  • Managing the EBSIG technical track at the Annual PMI Seminar/Symposium
  • Recruiting his/her own heir apparent (perferably, from with the EBSIG BoD), providing guidance & training for heir apparent, and turning over all applicable data, records and miscellaneous information to the heir apparent that will ensure their replacement's success.

Board of Directors Statement of Interest

Vice Chair of Marketing

Position Description
Responsible for overall marketing activities of the PMI EBSIG, including but are not limited to:

  • Promoting professionalism in eBusiness project management
  • Branding, promoting and marketing PMI and the EBSIG
  • Working with the Board of Directors (BoD) to develop and implement strategies and tactical goals of the EBSIG
  • Creating new channels for fund generation through corporate sponsorship and other like activities
  • Creating and maintaining accurate descriptions for the sponsorship levels that are used in the EBSIG "Welcome Brochure," newsletters and website
  • Liasing with PMI Executive and Operational personnel for SIG-related marketing matters
  • Providing PMI EBSIG Board with marketing support and assistance in working with other organizations and the general public
  • Coordinating with the Vice Chair of Membership and Vice Chair of Communicaations in prepration and distribution of PMI EBSIG marketing materials
  • Establishing and reporting on direct marketing and recruitment projects as requested or desired
  • Promoting PMI EBSIG-sponsored events and activities
  • Managing membership recruitment drives based upon Annual Marketing Plan submitted to the PMI EBSIG BoD
  • Ensuring that rooms are reserved, for both, the EBSIG annual members meeting and the EBSIG BoD annual meeting at the Annual Seminars and Symposium site each year.  Coordinating efforts with PMI HQ personnel
  • Ensuring the tables are reserved at the Annual PMI Seminar and Symposium, for both, the SIG reception and the silent auction staged at the Semi-annual PMI Leadership Conference.  Coordinating efforts with PMI HQ Personnel
  • Advising Board of financial estimates and commitments, prior to actual expenditures
  • Recruiting his/her own heir apparent (perferably, from with the EBSIG BoD), providing guidance & training for heir apparent, and turning over all applicable data, records and miscellaneous information to the heir apparent that will ensure their replacement's success.

Board of Directors Statement of Interest

Vice Chair of Communications

Position Description
Responsible for overall communications activities of the PMI EBSIG, including but are not limited to:

  • Promoting professionalism in eBusiness project management
  • Working with the Board of Directors (BoD) to develop and implement strategies and tactical goals of the EBSIG
  • Publishing and distributing EBSIG newsletters to membership on a periodic basis
  • Submitting of EBSIG articlesto PMI for inclusion in the PMI Today newspaper
  • Coordinating with the Vice Chair of Membership, publish an annual membership directory and demographics
  • Liaising with PMI Executive and Professional Staff for communications matters
  • Advising Board of financial estimates and commitments, prior to actual expenditures
  • Recruiting his/her own heir apparent (perferably, from with the EBSIG BoD), providing guidance & training for heir apparent, and turning over all applicable data, records and miscellaneous information to the heir apparent that will ensure their replacement's success.

Board of Directors Statement of Interest

Vice Chair of Profesional Development

Position Description
Responsible for overall professional development activities of the PMI EBSIG, including but are not limited to:

  • Promoting professionalism in eBusiness project management
  • Working with the Board of Directors (BoD) to develop and implement strategies and tactical goals of the EBSIG
  • Managing development of EBSIG sponsored workshops as well as local and regional seminars, in conjunction with other Board members
  • Advising Board of financial estimates and commitments, prior to actual expenditures
  • Liaising with PMI Executive and Operational personnel on professional development matters
  • Working in conjunction with other PMI affiliated components, plan develop and stage eBusiness project management seminars, webinars, telecast, conferences, etc.
  • Finding and securing commitments and dates, at least 90 days in advance, from "well-known" or "published" speakers, instructors and lecturers on eBusiness Project management mentioned in the previous bullet
  • Working in conjunction with general counsel, creating and maintaining the EBSIG's terms and conditions contract for signing over publishing and viewing rights of content, exclusively for our membership (on an our password protected members-only website)
  • Turning over to the Vice Chair of Content and Knowledge Management, all presentations, white papers, audio-visual recorded events, etc., to be loaded on our members-only website
  • Based on the PMI HQ requirements and feedback, developing and maintaining an eBusiness project management Certificate of Additional Qualifications (CAQ) program
  • Recruiting his/her own heir apparent (perferably, from with the EBSIG BoD), providing guidance & training for heir apparent, and turning over all applicable data, records and miscellaneous information to the heir apparent that will ensure their replacement's success.

Board of Directors Statement of Interest

Vice Chair of Membership

Position Description
Responsible for overall membership activities of the PMI EBSIG, including but are not limited to:

  • Promoting professionalism in eBusiness project management
  • Working with the Board of Directors (BoD) to develop and implement strategies and tactical goals of the EBSIG
  • Conducting membership recruitment activities
  • Establishing and maintaining membership records
  • Producing and distributing new member welcome packages and membership renewal cards
  • Producing and distributing member renewal "thank you" notes and cards
  • Sending follow-up correspondence/survey to non-renewal members
  • In Coordination with the Vice Chair of Communications, publishing an annual membership directory (This should onl be done if enough funds are available and it is deemed to be a valude-add by the EBSIG BoD)
  • Surveying the needs of all the EBSIG Membership on at least an annual basis
  • Liaising with PMI Executive and Operational personnel on membership matters
  • Following up on rejected email addresses forwarded from the Vice Chair of Programs that are derived from the call for papers solicitation and forwarding relevant information to PMI HQ for resolution
  • Recruiting his/her own heir apparent (perferably, from with the EBSIG BoD), providing guidance & training for heir apparent, and turning over all applicable data, records and miscellaneous information to the heir apparent that will ensure their replacement's success.

Reports to EBSIG Chair.

Board of Directors Statement of Interest

Vice Chair of Finance

Position Description
Responsible for overall financial activities of the PMI EBSIG, including but are not limited to:

  • Promoting professionalism in eBusiness project management
  • Working with the Board of Directors (BoD) to develop and implement strategies and tactical goals of the EBSIG
  • Establishing and maintaining all financial records of the EBSIG
  • Coordinating budget submissions from all BoD members, drafting and consolidating initial budget plans, and maintaining and managing to an annual budget baseline
  • Issuing checks from, and making deposits to, the PMI EBSIG checking account established by PMI HQ in Newtown Square, Pennsylvania, as needed
  • Obtaining, maintaining and, (if necessary) changing the EBSIG's EIN with the Social Security Administration
  • Reporting the monthly financial position of the EBSIG to the EBSIG BoD.  Explicitly giving the status of beginning balance(s), total-in cash flow, total-out cash flow and ending balance(s).  Also, highlighting all major expenditures whether planned or unplanned and unusual revenue sources beyond spikes in membership dues
  • Determining whether invoices and travel & entertainment expenses are reasonable whether these expenditures were pre-approved by the BoD or not, using her/his professional judgement
  • For expenses over $1,000 (USD), ensuring that BoD approval was previously obtained, and that any conditional criteria set forth in the approved Board motion is met, before any check is issued
  • Reporting the financial position of the EBSIG to the Membership on an annual basis
  • Establishing and/or maintaining necessary filings to the IRS and other government tax boards, as appropriate and required
  • Monitoring and escalating to the BoD any unusual or out-of-line requests for payment from vendors, organizations, or individuals
  • Liaising with PMI Executive and Operational personnel on financial matters
  • Recruiting his/her own heir apparent (perferably, from with the EBSIG BoD), providing guidance & training for heir apparent, and turning over all applicable data, records and miscellaneous information to the heir apparent that will ensure their replacement's success.

The Vice Chair of Finance is ultimately responsible for the financial soundness of the EBSIG.

Board of Directors Statement of Interest

Vice Chair of Operations

Position Description
Responsible for overall operational activities of the PMI EBSIG, including but are not limited to:

  • Promoting professionalism in eBusiness project management
  • Working with the Board of Directors (BoD) to develop and implement strategies and tactical goals of the EBSIG
  • Preparing and distributing of meeting minutes drafts and reports as authorized by the EBSIG Bylaws
  • Taking responsibility for all official EBSIG documents.  This includes bylaws, policies, standards, guidelines, procedures, and plans.
  • Maintaining EBSIG records, history, and archives.  This includes creating and maintaining an inventory checklist of all EBSIG assets, content, records, etc.
  • Randomly verifying that the web contents are maintained and kept synchronized and up-to-date with known EBSIG records and archived materials
  • Liaising with PMI Executive and Operational personnel for applicable administrative matters
  • Following up on rejected email addresses forwarded from the Vice Chair of Programs that are derived from the call for papers solicitation and forwarding relevant information to PMI HQ for resolution
  • Recruiting his/her own heir apparent (perferably, from with the EBSIG BoD), providing guidance & training for heir apparent, and turning over all applicable data, records and miscellaneous information to the heir apparent that will ensure their replacement's success.
